A useful workshop list must be ready for purchasing and review, not merely a set of names in a message. Start with a table containing the item code or product link, full name, grade, pack size, and number of packs. Put each distinct combination on its own row; the same product in two pack sizes is not one line. Do not abbreviate names in ways that can confuse families or grades, and do not use an old photograph instead of clear data. Add a column for the purpose or vehicle group associated with each line, but do not write undocumented suitability claims. This column helps the workshop remember why the item is present and which reference to revisit. If a specification is required, copy it from a reliable record and note its source or attach the permitted document. Any uncertain selection should remain marked for review rather than entering the order as a fact. Check duplication in two ways. First, locate repeated item codes and consolidate quantity only when grade and pack are identical. Second, find similar names with different codes and keep them separate until their pages and documents are reviewed. Check for gaps as well: an item without a count, a count without a pack size, or a request without a destination and date. Add the UAE delivery address, receiving contact, and a realistic required date. Save the list with a clear name and date, then send it through local supply or wholesale quotation according to its scale. When the quotation arrives, match every line to the list instead of checking only the total. After completion, save an approved version as a repeat-order list. Next time, adjust quantities, remove obsolete needs, and add new lines. Do not resubmit automatically without reviewing price, availability, destination, and version. This cycle reduces copying errors and creates a traceable workshop purchasing history without building a parallel accounting system.
